What Your Delivery App Statements Are Not Telling You

Your delivery platform statements are built to answer one question: how much is being paid out. They are not built to show you how much you lost along the way. That part is spread across deductions, adjustments, and error charges that most operators never review line by line.
If nobody on your team reads statements closely, those charges become permanent by default. Here is what to look for and how to make the review manageable.
The line items worth slowing down for
- Refund and error charge deductions. Money subtracted because a customer reported a missing item, a wrong order, or a bad experience. Many of these are disputable.
- Cancellation entries. Orders cancelled after your kitchen started prep. Whether you absorb that cost often depends on timing details worth checking.
- Adjustments with no obvious cause. Small corrections that reference an order number and nothing else. These deserve a second look, not a shrug.
- Promotion and fee lines mixed with everything else. Not disputable, but separating them out shows you what your delivery channel actually costs.
Why weekly beats monthly
Dispute windows are short. A statement reviewed at month end is a list of charges that are already final. A statement reviewed weekly is a list of charges you can still act on.
Weekly review also keeps the volume small. Fifteen focused minutes per location per platform is realistic. Untangling a month of deductions is not, which is why it never happens.
A simple weekly routine
1. Export on the same day every week
Pick a quiet morning and make it the standing statement day for every location.
2. Tag every deduction by type
Missing item, order error, cancellation, unknown adjustment. Four buckets are enough to start.
3. Flag what is disputable and file the same day
Momentum matters. A flagged charge that waits for next week usually misses its window.
4. Log the outcome
Won, lost, expired. A simple log turns disputes from a chore into a number you can manage.
Make it someone's job
Statement review fails as a shared responsibility and works as an owned one. Name one person, give them the routine above, and have them report a single number each week: how much was recovered.
If that role is hard to staff, it is also the exact work we take off your plate. Restaurant Logistics reviews, disputes, and recovers across your delivery platforms on pure performance. No recovery, no fee.
